Virtual Project Coordinator #1: Promotions
 

  • Publish and update all required website pages each week across fertilitybridge.com and insidereproductivehealth.com, up to 30 per week. This includes building pages for new podcast episodes, News Digest articles, IVF Heroes Universe content, Data Hub content, marketing updates, job postings, and HR website requests. Pages will follow all established tagging, naming, SEO, and formatting work instructions, and will be published accurately and on schedule. Misalignment arises when pages are mis-tagged, improperly formatted, delayed, or missing required information. Coordinators who excel do so by maintaining fast turnaround times and consistently delivering pages that require no revision.

  • Schedule and publish social media posts for all IRH brands and departments, up to 30 per week. This includes preparing and scheduling weekly posts across LinkedIn and Meta, plus any secondary channels used by other departments. All posts will be taken from the approved content queue, formatted correctly for each platform, tagged appropriately, and scheduled according to brand timelines and departmental needs. Misalignment occurs when posts are late, missing, improperly formatted, improperly tagged, or not scheduled according to the Content Calendar. Coordinators who excel maintain a clean, predictable posting cadence and proactively manage the queue to ensure uninterrupted coverage.

  • Build, schedule, and maintain email campaigns across IRH using Mailchimp, up to 20 per week. This includes  placing approved copy and visuals, confirming audiences/tags, running test sends, and scheduling them according to departmental timelines. Campaigns must follow all internal formatting and QA instructions, use correct lists and segments, and launch without errors. Misalignment occurs when campaigns deliver incorrectly, are scheduled late, or contain formatting/segmenting mistakes. Coordinators who excel maintain accurate campaign setup and ensure consistent, error-free execution across all departments.


What we think we have for you to achieve your outcome(s):

  • Estimated hours per week: 5-15

  • Extensive SOP library for website posting, social distribution, and email scheduling, including tagging conventions, naming rules, formatting standards, and QA checklists.

  • No dedicated QA reviewer - Coordinator is expected to follow SOP checklists and self-QA before publishing.

  • No guaranteed content pipeline - Coordinator relies on departments delivering assets and direction on schedule; role requires proactive follow-up when inputs are delayed or content is missing

  • Asana project management system for Podcasts and News Digests, with episode/article tasks already created and deadlines assigned.

  • LinkedIn Content Calendar for scheduling

  • Project Managers for each Digest and Podcast to provide direction and approval for social posting and web updates.

  • HR/Recruiting team for creating, updating, and removing job postings.

  • Loom training videos for all recurring workflows.

  • IRH Brand Guide for formatting, tagging, page structure, and brand standards.

  • Podcast editor providing full edited video files for all video-based social content.

  • Full admin access to both Squarespace sites (FertilityBridge.com and InsideReproductiveHealth.com).

  • Established Squarespace page templates for podcasts, digests, and job postings.

  • Recurring Asana tasks indicating what needs to be posted, when, and for which project.

  • Access to all company social platforms (LinkedIn, Facebook, Instagram, YouTube).

  • Delivery Team Project Managers for direction and coordination

  • Approved Canva templates for all branded social posting, already aligned to IRH style

  • Brand Manager for marketing and IVF Heroes Universe content direction

  • Brand Manager for approvals, brand alignment, and escalation needs

  • LinkedIn Content Calendar in Asana for planning and scheduling across departments.

  • Access to IRH’s Mailchimp account for campaign setup, testing, and scheduling.

  • Ready-made copy and design assets from Marketing for each campaign.

  • Tagging, list, and segment structures already in place in Mailchimp.

 

What we don’t have (YET!) for you to achieve your outcome(s):

  • Hours estimate may not be precise - workload may increase or decrease depending on production cycles, department needs, and project launches

  • No dedicated IT team for technical support

  • No SEO Manager - Website updates will follow existing SOPs and tagging conventions, but you will not have an SEO specialist to refine or audit pages

  • No dedicated scheduling strategist: Content strategy and scheduling priorities will come from Marketing, Operations, or Project Managers

  • No copywriting expectation - Coordinator does not create or edit copy; all text is provided by subject-area owners (Marketing, Digest team, Podcast team, HR, etc.)

  • No in-role design expectation - the Coordinator does not create assets and must use only approved graphics and templates provided by the Marketing team.

  • Brand Manager not available on Mondays

Virtual Project Coordinator #2: Sponsorship

  • Monitored and responded to all customer form submissions, within 1 business day, 5 to 30 per month. Responses delivered (can be scheduled) within Eastern US Time Zone business hours. From those that arrive via email from our website as well as questions that arrive via LinkedIn messenger. Ensured all new customer inquiries submitted to IRH were reviewed according to IRH’s Standard Operating Procedure and work instructions for communicating with sponsors. Categorized, and tracked all incoming questions and requests in the provided Google Sheets Tracker. Ensured that any customer inquiry requiring internal input, technical support, or decision-making is passed along the same business day

  • Reminded and assisted sponsors, up to 30 per month, with their sponsorship progress. As part of ongoing communication, manually sent brief reminder emails to sponsors as directed (e.g., to collect missing info, confirm profile status, or share next steps). Scheduled meetings to solve for customer inquiries via phone call, within 72 hours,  if necessary, during a time that fits within their business hours. While most communication will happen via email, certain situations may require a phone call to resolve confusion or clarify details. Logged any responses or follow-up needed in the Google Sheets Tracker.

  • Verified sponsor profile submissions within 2 business days, up to 15 per week. When a sponsor submits a Company Details Page form it goes into a “pending” verification process in Airtable that you will then manually verify within 2 business days. A notification will be sent to you via email that a new form has been submitted, this step ensures that all sponsor-submitted profiles are reviewed by you according to the checklist for accuracy, completeness, and quality before being shown as “verified”.

  • Reviewed and processed sponsor submissions within 2 business days, up to 15 per week. When a sponsor submits a Company Details Page form by editing their profiles in the app or a new company is submitted through the public intake form, each record enters a “pending” status in Airtable for manual review. You will verify these submissions within 2 business days, following the accuracy, completeness, and quality checklist before marking them as “verified” or “approved.”

What we don’t have (YET!) for you to achieve your outcome(s):

  • Dedicated IT team for technical support

  • Brand Manager and Website Coordinator unavailable on Mondays

  • SOP and work instructions are in their first draft. You will likely encounter issues that we have not yet accounted for, and you will have to inform us and help to improve the process

  • We don’t know how effective our automation will be in obtaining the sponsors’ materials or answering their questions-so you may have to troubleshoot with them

  • Sponsors may ask you questions to which you do not know the answer. You have to tell them that you will obtain that answer within 3 business days, inform us so we can answer and add their question to the FAQs or other appropriate parts of SOP. You must then respond to them and track that in the Google Tracker

 

Everyone who works with or for  Fertility Bridge does business in these ways

  1. Must Get, Want, and have the Capacity to achieve the outcomes aligned with the role

  2. Must be a plus or a plus/minus on each of the five core values of Fertility Bridge

  3. Leader specifies and judges the result of the outcome. 

  4. Must be on brand with Fertility Bridge and Inside Reproductive Health brand guidelines

  5. Employee or contractor  must specify exactly what is required to achieve outcome

  6. Must be accountable in Asana

  7. Must create Fertility Bridge assets in Fertility Bridge drives using Fertility Bridge account
